Welcome to Fuelwheel. This Privacy Policy explains how Mentaxis Labs ("we," "us," or "our") collects, uses, and protects your information when you use the Fuelwheel Android application. We believe in transparency and keeping things simple — here is a clear overview of how we handle your data.
Cloud Storage & Your Vehicle Data
Unlike apps that store data strictly on your local device — which can lead to permanent data loss if your phone is lost or broken — Fuelwheel uses secure third-party cloud infrastructure to safely store and synchronize your information.
What we store. When you log fuel fill-ups, vehicle expenses, and mileage, this data is transmitted securely to our cloud database.
Why we store it. This ensures your data is automatically backed up, seamlessly synchronized across your devices, and instantly recoverable if you reinstall the app or upgrade to a new phone.
Your ownership. The fuel logs and expense data you input belong to you. We do not sell your personal vehicle data to third parties.
Account Information & Identity
To utilize our cloud-sync features, you may be required to create an account. If you create an account, we securely store your authentication details (such as an email address) solely for the purpose of identifying your account and securing your cloud data. We do not use this information for marketing purposes unless you explicitly opt in, and we do not sell your contact information.
Location & Trip Recording
FuelWheel requests location access to find nearby and on-route fuel stations, to record where a fill-up happened, and to track trips.
Background location. While you are actively recording a trip, the app collects location in the background through an Android foreground service that displays an ongoing notification. It is used only for the duration of that recording.
Your control. You can deny or revoke location access at any time in your device settings. Location-dependent features stop working; the rest of the app continues to function.
Advertising & the Advertising ID
FuelWheel shows no advertisements. It contains no advertising SDK.
- We do not collect, request or use your advertising ID.
- We do not track your behaviour across other apps or websites.
- No data is shared with advertising networks.
Crowdsourcing & Fuel Prices
Fuelwheel includes optional crowdsourcing features that let the community share information about local gas prices and station services.
Anonymity. If you choose to share fuel prices, this information is saved in our database and shared with other users — but the data is entirely anonymous.
How it works. Your price reports are linked to a randomly generated unique identifier (randomUUID), not your device ID, email, or personal identity. This temporary ID is used solely for moderation (e.g., verifying ratings or preventing spam) and cannot be traced back to you.
Third-Party Services
When you use the relevant feature, limited data is shared with these providers under their own privacy policies:
- Supabase — authentication, database and storage for your account, synced data, community prices, profile and feedback. Privacy policy.
- Google Maps Platform (Maps, Places, Directions, Geocoding) — receives coordinates and search input to render maps, autocomplete addresses, and return stations and routes. Privacy policy.
- OpenWeather — receives coordinates to return weather for a fill-up or trip. Privacy policy.
We do not sell your personal information.
Diagnostics & Crash Reporting
FuelWheel uses Sentry to record crashes and performance data so we can find and fix faults. We do not use Google Firebase Analytics or Crashlytics.
- Crash reports include device model, OS version, app version and a stack trace.
- Your IP address is collected with reports.
- A screenshot of the screen you were on and its view hierarchy are attached to crash reports. These may incidentally contain data visible at that moment, such as an address, vehicle registration or location.
- Reports are linked to your account identifier so we can follow up on a fault you report.
See Sentry's privacy policy. Our backend provider also records standard technical logs — request timestamps and error responses — needed to operate and secure the service.
Data Deletion
You have the right to your data. If you wish to stop using Fuelwheel and want your account, vehicle profiles, and all associated fuel logs permanently deleted from our secure cloud servers, you can request account deletion directly within the app settings or by contacting our support team.
Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our app or legal requirements. We will notify you of any significant changes by updating the date at the top of this policy and, where appropriate, via an in-app notification.
